Introduction

These Terms and Conditions (“Terms”) govern your use of the Academis website (www.academis.com.au) and tutoring services provided by Academis (“we”, “our”, “us”). By accessing our website or using our services, you agree to be bound by these Terms. If you do not agree with any part of these Terms, please do not use our website or services.

Definitions

• “Student” refers to any individual receiving tutoring services from Academis.
• “Parent/Guardian” refers to the person responsible for a Student under 18 years of age.
• “Tutor” refers to any individual providing tutoring services through Academis.
• “Services” refers to tutoring, educational support, and related services provided by Academis.
• “Website” refers to www.academis.com.au and all associated webpages.

Services

Tutoring services

• Academis provides educational tutoring services for primary and secondary school students.
• Tutoring sessions may be conducted in person or online, depending on the arrangement.
• We match Students with appropriate Tutors based on subject requirements, learning style, and availability.
• We do not guarantee specific academic results, but we strive to provide high-quality educational support.

Bookings and scheduling

• Tutoring sessions must be booked in advance through our booking system, by email, or by phone.
• Regular tutoring slots will be reserved for ongoing Students.
• We require 24 hours’ notice for cancellation or rescheduling of sessions.
• Late cancellations (less than 24 hours’ notice) or no-shows may incur the full session fee.

Fees and payment

• Our current tutoring fees are displayed on our website and are subject to change with notice.
• We operate on a recurring subscription model. Each payment covers the immediately upcoming scheduled lesson.
• Subscription payments are processed automatically according to your selected payment schedule.
• We accept payment via credit/debit card, direct bank transfer, or other methods specified on our website.
• Invoices will be provided for all services rendered.
• Overdue or failed payments may result in immediate suspension of services and may incur late payment fees.

Responsibilities

Student and Parent/Guardian responsibilities

• Provide accurate and complete information during registration.
• Ensure the Student attends scheduled sessions punctually.
• Inform us of any learning difficulties, medical conditions, or special requirements.
• Complete assigned homework and actively participate in tutoring sessions.
• Maintain respectful behaviour towards Tutors and other students.
• For in-person sessions, provide a suitable learning environment.

Academis responsibilities

• Provide qualified and experienced Tutors.
• Maintain confidentiality of Student information.
• Deliver professional and high-quality tutoring services.
• Provide regular feedback on Student progress.
• Respond promptly to enquiries and concerns.

Intellectual property

• All content on our website, including text, graphics, logos, icons, images, and software, is the property of Academis and is protected by Australian copyright laws.
• Our teaching materials, worksheets, and resources are for personal use only and may not be reproduced, distributed, or shared without our written permission.
• Students retain ownership of their original work created during tutoring sessions.

Privacy

We collect and process personal information in accordance with our Privacy Policy. By agreeing to these Terms, you acknowledge that you have read and understood our Privacy Policy.

Limitation of liability

• To the maximum extent permitted by law, Academis is not liable for any direct, indirect, incidental, special, or consequential damages resulting from the use or inability to use our services.
• We do not guarantee specific academic results or outcomes.
• We are not responsible for the actions of Students outside of tutoring sessions.

Cancellation and termination

Subscription cancellation

• Subscriptions may be cancelled at any time by providing notice at least 24 hours before the next scheduled class.
• Cancellation requests must be submitted through our online portal or in writing via email.
• If cancellation occurs less than 24 hours before a scheduled class, that class payment is non-refundable.

Individual lesson cancellation

• Individual private lessons may be rescheduled or cancelled with at least 24 hours’ notice without penalty.
• Cancellations made less than 24 hours before a scheduled private lesson will incur a 50% cancellation fee.
• No-shows for any lesson type will be charged the full lesson fee.

Termination of services

• Either party may terminate ongoing tutoring arrangements by providing written notice.
• We reserve the right to terminate services immediately if the Student or Parent/Guardian breaches these Terms, the Student engages in disruptive or inappropriate behaviour, or payment for services is not received by the due date.
• Upon termination, all outstanding fees become immediately payable.

Changes to Terms

We reserve the right to modify these Terms at any time. Changes will be effective immediately upon posting on our website. Your continued use of our services after any changes indicates your acceptance of the modified Terms.

Governing law

These Terms are governed by the laws of Western Australia. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of Western Australia.
